1.1. These Terms of Use set out the rules for using the Synomi mobile application (the “App”) installed on the mobile device of a user of the synomi.ai service.
1.2. The App is available for iOS and Android and is distributed through the Apple App Store and Google Play respectively. The App is free to download.
1.3. The Synomi mobile app is a client of the synomi.ai service — it requires an active internet connection to operate and does not function offline.

3.1. Synomi is a B2B application intended for small and medium-sized enterprises (SMEs) conducting business activity in the Netherlands. The App is not intended for private users.
3.2. An Account can be created free of charge: classically, using an e-mail address, or via “Sign in with Apple” or “Sign in with Google”.
3.3. Using the App requires an active Account with genuine data of a company registered with the Dutch Chamber of Commerce (Kamer van Koophandel®), in particular a KvK number and a BTW number (VAT ID). Adding a company during onboarding is subject to immediate verification against the KvK register.
3.4. One Account can be assigned to only one company (KvK number).
3.5. An Account whose registration (onboarding) process was interrupted due to company data not being provided, or false company data being provided, is deleted from the service without separate notification within up to 14 days.
3.6. The Service Provider reserves the right to verify that Account data matches the KvK register — including requesting that the User provide a current KvK register extract (uittreksel), obtained at the User's expense. In the event of a justified suspicion that the Account uses a company's data without authority to represent it, or if the extract is not provided within the set deadline, the Service Provider may block or delete the Account and notify the competent authorities.
3.7. The User undertakes to: keep their password and access keys secure, use two-factor authentication (2FA), and immediately report any unauthorized access to the Account.
3.8. The User may delete the Account directly in the App (Profile → Delete account). Deletion starts a 30-day grace period during which the decision can be reversed by signing in again; after it expires, the data is permanently and irreversibly deleted.
3.9. A trial Account on which, after the 14-day trial period has expired, no documents have been created and no Subscription has been activated, is deleted immediately, without separate notification. Deletion of an Account containing documents follows the procedure set out in point 3.8.
4.1. Using Synomi after the trial period ends requires an active Subscription.
4.2. The Subscription does not renew automatically. The User decides on its renewal themselves.
4.3. The App does not offer in-app purchases. Purchasing, renewing, and managing the Subscription and Modules are not available in the App; the App is used to access features covered by an active Subscription.
4.4. The availability of Modules depends on the scope of the User's Subscription.
5.1. The App may request access to the microphone (Voice-to-Invoice™ feature), the device location — including in the background (mileage / trip log), and the camera (document scanning / OCR). The scope and purpose of processing this data is described in the “Data in the mobile application” section of the Privacy Policy. Granting permissions is voluntary but necessary for the related features to work.
5.2. Voice-to-Invoice™ — lets you create invoices and use other Synomi features with voice commands. The feature is available exclusively in the App and does not work on computers. Voice commands processed by the AI system are not stored after the operation they relate to is completed. The User is responsible for verifying the correctness of the data before approving a document.
5.3. Trip log (mileage) — available exclusively in the App; requires location (GPS) access to be enabled for the App on the device.
5.4. Document scanning (OCR) — in the App requires access to the device camera; in the Service, the OCR feature works on uploaded image files and does not require a camera.
6.1. The User is prohibited from:

The User, as the Data Controller, bears sole responsibility for the correctness, completeness and archiving of documents created and stored in the Synomi system for the period required by applicable law. The Synomi system is an IT tool enabling the creation and management of documents, but it does not replace archiving obligations arising from the law.
6.3. The Service Provider makes every effort to ensure the continuity and quality of the services provided, but is not liable for:
7.1. The User retains full rights to their data (invoices, client directory, suppliers, products, and other documents created in Synomi).
7.2. Roles of the parties and liability. With respect to data that the User enters or generates in Synomi in the course of their business activity (contractor data, invoice content, receipts and documents, voice command transcripts, GPS routes), the User is the Data Controller (Art. 4(7) GDPR) and Synomi is the Processor (Art. 4(8) GDPR), processing this data solely to the extent necessary to provide the features chosen by the User. With respect to the User's Account data (registration data, contact data, logs), Synomi is an independent Controller. The data processing agreement (verwerkersovereenkomst, Art. 28 GDPR) is contained in the Synomi Web Service Terms and Conditions.
7.3. Data is stored on servers located in the European Union (the Netherlands). Detailed information about data processing can be found in the Privacy Policy.
8.1. The Synomi logo, Voice-to-Invoice™ and other Synomi marks are the property of the Service Provider. Copying, modifying or distributing them without consent is prohibited.
8.2. Third-party logos and trademarks presented in the App (including Apple, Google, App Store, Google Play, Kamer van Koophandel®) are used solely for informational purposes and remain the property of their respective owners; their presence does not imply any transfer of rights or any endorsement of Synomi by those parties.
The following additional provisions, required by Apple Inc. (“Apple”), apply to the App downloaded from the Apple App Store:
Use of the App downloaded from Google Play is additionally subject to the Google Play Terms of Service. Google is not a party to these Terms.
11.1. Support for Synomi Users is available from within the App — via a ticketing system operating 24/7.
11.2. If you are unable to sign in to the App, send a request to support@synomi.ai with a description of the problem — from the e-mail address assigned to the User's Synomi Account.
11.3. For problems with company registration, send a request to hello@synomi.ai; a response is provided within up to 7 business days.
11.4. Complaints are processed within 14 working days.
12.1. The Service Provider reserves the right to amend these Terms. Users will be notified of changes by email 14 days in advance.
12.2. Continued use of the App after changes take effect constitutes acceptance of those changes.
13.1. In matters not covered by these Terms, the Synomi Web Service Terms and Conditions and the laws of the Netherlands apply. Any disputes shall be resolved by the court having jurisdiction over the Service Provider's registered office (Rotterdam).
13.2. Version 1.1 of these Terms takes effect on 28 July 2026.
